Saving and reusing prompt answers

As you answer the prompts in a report or document, you can choose to save the answers, so those answers are automatically used the next time the same report or document is run. When the report or document is re-executed, the answers you saved are already selected for you in the prompts. This is convenient because you do not have to specify the same answers every time a report or document is re-executed. When you save a prompt answer, you can also specify that you are not prompted for that prompt answer the next time the report or document is executed.

Personal answers are saved in the My Personal Objects\My Answers\Prompt Answers folder. You can delete and rename personal answers in this folder, or when answering a prompt. You cannot edit personal answers.

Prerequisites

To be able to save and reuse prompt answers, the report designer must enable this feature for the report. For information about enabling this feature, see Allowing personal answers for prompts.

To save and reuse prompt answers in a report or document

  1. Click the name of a prompted report to run it. A prompted report will present a prompt question to be answered before the report data is displayed.

  2. Answer the prompt in the prompt selection page. See the links below to answer each type of prompt:

  3. While you are answering prompts, do one of the following:

  4. Once you have finished answering the prompt, you can answer the next prompt on the report or document. If there are no other prompts to answer, click Run Report or Run Document to execute the report or document.

  5. From the File menu, select Save As. Navigate to where you want to save the report, and provide a name for the report.

  6. You can choose to save the report as a prompted or a static report:

  7. If you save it as a prompted report, you can choose whether or not to use the current prompt answers as the default prompt answers when you run the report again, as described below:

  8. Click OK. Your selections are saved.
